How to create credit note/debit note
Step 1: Access the Customer Return Menu
Expand the Shipment menu on the left-hand side and click on Customer Return to open the Customer Return management section.
Step 2: Open the Add New Form
Click on the Add New (+) button located at the top-right corner of the Customer Return screen to open the Customer Return Information form.
Step 3: Fill in the Customer Return Information
Complete the required fields in the Information tab:
- Return Type: Select Credit Note or Debit Note based on the return reason.
- Return Date: Specify the date of the return.
- Location: Choose the warehouse or storage location related to this return.
- Currency: Select the currency used in the transaction.
- VAT: Choose the VAT rate applicable for this return.
- Return Reason: Select the reason for the customer return.
- Customer: Choose the customer from the list.
- Payment Term: Select the payment term for this return.
- Due Date: Set the due date for the return.
- Exchange Date & Exchange Rate: (If applicable) enter the exchange date and rate.
- Return Remark: Enter any additional remarks about the return (optional).
Step 4: Add Return Details
Go to the Details tab and add items related to the return:
- Click on + Invoice to select the invoice related to the returned items.
- Choose the correct Invoice No. from the list and click Select to confirm.
- If the return is not linked to an invoice, click + Item to manually add the returned items.
- Fill in the return details:
- Item Code & Name: Select the item being returned.
- Invoice Quantity & Return Quantity: Enter the number of items returned.
- Unit Price & Return Unit Price: Specify the price of the returned items.
- Correct Total Amount: Adjust if necessary based on the return quantity and price.
- Return Reason: Select the reason for returning this item.
- Remark: Add any additional remarks for this return (optional).
Step 5: Save the Customer Return
After filling in the required information and verifying all details, click the Save button at the top-right corner of the form.
Step 6: Verify the Customer Return
The newly added Customer Return will now appear in the Customer Return list. You can confirm it by searching for the Return No., Customer, or Return Type you entered.
